1. Who we are

XP Studio is operated by XP Services Ltd, registered with the Rwanda Development Board. In these terms, "we" and "us" mean XP Services Ltd, and "you" means the person using our services.

2. Appointments

We work by appointment. Reserve a time on our booking page, then place your order on this website; both steps are needed before we accept a job. You are welcome to come in without an appointment and we will help you book the next open slot, but we do not start work on the spot.

3. Orders are requests, not confirmed sales

An order placed through our website is a request. Before sending it you confirm that you have read and accept these terms and our privacy policy. The order becomes an agreement only when we confirm it with you on WhatsApp. We may decline any order.

4. Prices

Prices shown on the site are in Rwandan Francs and are the prices posted at our counter. Some items are marked "from" — these depend on the work involved and are confirmed before we begin. The total shown on the order page is an estimate, not a final invoice, and includes the courier fee if you choose delivery. Prices may change; the price we confirm on WhatsApp is the price that applies.

5. Payment

No payment is taken on the website. We accept MTN MoMo. Large printing jobs may require a deposit before we begin. XR sessions are prepaid in full to hold the slot.

6. Collection and delivery

You may collect your order from our premises free of charge, or choose courier delivery for a flat 500 RWF within our usual delivery area. Delivery is carried out by an independent courier. We confirm delivery times with you but cannot guarantee a specific hour. You are responsible for giving an address at which someone can receive the order.

7. XR sessions

• Sessions are prepaid and by appointment. Cancel with at least 24 hours notice for a full refund, or reschedule into the next available opening. Same-day cancellations are not refunded, but you may reschedule into the next available opening. No-shows are treated as same-day cancellations.
• Children under 13 may not use the headsets. Children 13 to 17 require a guardian present.
• Do not use the headsets if you have a history of seizures. Stop immediately and tell staff if you feel dizzy or unwell.
• Cinema sessions last one hour and run five times a day, at 09:15, 10:30, 11:45, 14:00 and 15:15. A session is 10,000 RWF for one person or 18,000 RWF for two. A two-person booking uses both headsets. Content is provided through licensed streaming services and availability may vary.
• You are responsible for damage caused by misuse of equipment.
• Gemini and the other AI features inside the headset are provided by Google and Samsung. They are subject to those companies' regional availability and restrictions, and may change, be limited, or be withdrawn at any time. We cannot guarantee that a particular AI feature will be available during your session, and this does not on its own entitle you to a refund. Where a session cannot go ahead at all, we will reschedule or refund it.
• A try-before-you-buy evaluation is advice only. We do not sell, supply or import headsets, and we are not responsible for any purchase you make elsewhere.

8. Printing work

• Printing and copying are ordered through this website only, not at the counter, and are ready the same day. Scan to email is by appointment.
• For any personalised or multi-page job you must approve a proof before the full run. Once approved, we print as approved.
• If we make an error, we reprint at no cost. If the approved proof contained an error, a reprint is charged.
• You confirm you have the right to print the text, images and logos you supply. We may refuse work that appears to infringe someone's rights.
• We may refuse work that is unlawful, counterfeit, or that we judge to be offensive.
• Collect finished work within 30 days. After 60 days uncollected work may be disposed of.

9. Files you send us

Files you upload or send remain yours. We use them only to complete your order. See the Privacy Policy below for how long we keep them.

10. In-cafe device use and rentals

Laptops and phones are used on our premises only. Deposits are taken by MoMo and refunded when the item is returned in working condition. We never take or hold your national identity card. You are responsible for damage or loss while an item is in your care.

11. Our responsibility

We provide our services with reasonable care and skill. We are not liable for indirect losses, lost profits, or losses arising from information, files or instructions you gave us that were incorrect. Nothing in these terms limits liability where the law does not allow it to be limited. Our total liability for any order is limited to the amount you paid for that order.

12. Complaints

Tell us as soon as possible, on WhatsApp 078 764 5497 or at info@xp.services. We are open daily from 09:00 to 17:00 and aim to respond within two working days.

13. Changes and governing law

We may update these terms; the version on our website at the time of your order applies. These terms are governed by the laws of Rwanda, and the courts of Rwanda have jurisdiction.

Privacy Policy

1. What we collect

When you place an order we collect your name and phone number so we can confirm the order; your order details, including services, quantities, preferred date and time, and notes; a delivery address, only if you choose courier delivery; a record that you accepted these terms, with the time you did so; and any files you attach, such as designs, artwork and photos.

When you contact us on WhatsApp we hold that conversation. We do not use tracking or advertising cookies on this website.

2. Why we use it, and on what basis

We use your information to prepare and deliver the order you asked for, to contact you about it, and to keep basic business records as Rwandan tax law requires. Our legal bases are your consent when you send the order, and the performance of our agreement with you.

3. Who sees it

Our staff, to do the work. Google, which provides the spreadsheet and file storage we use. Our courier, who receives only your name, phone number and address, and only for courier orders. Authorities, where the law requires it. We do not sell your information, and we do not share it for advertising.

4. Where it is stored

Order records and attached files are stored using Google Workspace, on servers outside Rwanda.

5. How long we keep it

Files you attach are deleted 90 days after your order is collected. Order records are kept as long as tax and accounting law requires. WhatsApp conversations are kept while they remain useful for serving you.

6. Your rights

Under Rwandan Law N° 058/2021 on the protection of personal data and privacy, you may ask us to show you the personal data we hold about you, correct anything wrong, delete your data where we are not required to keep it, object to or restrict how we use it, or withdraw your consent at any time.

Write to info@xp.services or message 078 764 5497. We respond within a reasonable period and free of charge. If you are not satisfied, you may complain to the National Cyber Security Authority, Rwanda's supervisory authority.

7. Security

Access to order records is limited to the people who need it. Our devices are password-protected, our premises are camera-monitored, and we do not ask for or store your passwords, PIN codes or card details.

8. Children

This website is not aimed at children. We do not knowingly collect information from anyone under 16 without a parent or guardian.

9. Changes

We will post any changes here with a new date.
